Intouch Mailing Limited specialise in direct mail processing, including data handling, personalisation, fulfilment and mailing services.

They operate a 24hours, seven days a week, 365 days a year. All the team (who run and started the company) came with many years of management experience in the industry and did so to address shortcomings identified on quality and meeting of deadlines in the industry and designed the company to deliver this at all levels of the process from the bottom up.

They are working towards a zero waste policy and aim to recycle all their waste. They have recently installed new compressors and machinery to reduce their carbon footprint.

They operate a flexible shift pattern and can handle mailings of any size.

Their customers have the reassurance of working with a highly professional team with years of experience who will help them throughout their project.

Their rigorous checking system includes multi-step sign off and recorded hand inspections by the production team as well as investment in miss-feed and double feed sensors on all poly wrapping and paper enclosing equipment.

Customers have contact with an account manager responsible for each project and have access 24 hours a day seven days a week.

The Assignment

In order to continue their planned business growth path Intouch Mailing Limited commissioned Independent Advice for Business Limited to introduce an Integrated Management System combining the ISO9001:2008 Quality Management System Standard and the ISO14001:2004 Environmental Management System into the company by the end of 2013.

Making it Happen

After discussions with management and staff the following proposal was agreed:

1. Undertake Compliance Health Check and Report

2. Preparation of the Integrated Management System Manual and associated documentation to support the operation to ISO9001:2008 and ISO14001:2004 requirements.

3. Undertake a complete Internal Audit of the process, list any non-conformity’s and create a corrective action plan.

4. Advise Intouch Mailing Limited on implementing these into their company.

5. Up to 6 additional site visits were made at no extra charge to review internal audits and to give guidance to staff in support of you achieving your accreditation.

The project commenced in December 2012 and, after an initial meeting to review the business activities, a draft Quality Manual was produced that both reflected Intouch Mailing Limited processes and met the requirements of ISO9001:2008 and ISO14001:2004. Over the the following months a full internal audit programme was undertaken, non-conformities and corrective actions identified and time scales for rectification agreed. Throughout the project adjustments were made to the documentation where necessary.

Once the internal audit programme and the corrective action programme was completed ALCUMUS Limited undertook the one day external Stage 1 audit on site. A small number of improvement requests were identified and addressed. The two day Stage 2 audit took place about a month later and following a successful outcome the company gained both accreditation’s in June 2013.

Intouch Mailing Limited are now able to give their customers and stakeholders the assurance that their business is effectively managed and meets legislative standards for controlling and reducing the environmental impact of the operation. Certification also makes it easier to gain access to potential new clients as this is now, normally, a mandatory requirement for any potential suppliers.

As part of their continual improvement programme Intouch Mailing Limited are currently considering introducing BS OHSAS 18001:2007 and ISO/IEC 27001:2005 Information Security into the business.
